Introduction

If an electronic shelf label (ESL) shows “Not on file,” the barcode isn’t yet saved on a product in your catalog. Any barcode—including a Type-2 UPC—syncs to an ESL as long as it’s saved on the product in the Back Office or VoriOS; there’s no special formatting required. This article shows you how to add a missing barcode to a product, either in the Back Office or on the store handheld. Not-on-file ESL example If linking a code to an ESL shows a blank screen with a ? icon, the code isn’t saved on any product in your catalog yet.

Adding a Type-2 UPC in the Back Office

The Barcode field on a product’s detail page accepts a Type-2 UPC two ways:
  • The full code, exactly as printed on the shelf tag or package (starts with 2, e.g. 212345000007).
  • The first 11 digits—everything except the check digit. Back Office calculates and appends the correct check digit for you automatically.
✏️ Note: Entering just the 5-digit PLU on its own (e.g. 12345) saves as a plain PLU code, not a full Type-2 UPC—you’ll still need the complete code from the package or vendor to link it correctly. ⚠️ Caution: If you enter the full code and get the check digit wrong, Back Office doesn’t correct it or show an error—it silently saves the code as a plain PLU instead of a Type-2 UPC. If a barcode isn’t behaving as expected, double-check the check digit or re-enter the first 11 digits and let Back Office calculate it for you.

Add a Missing Barcode in the Back Office

  1. Open app.vori.com and log in.
  2. On the lefthand menu, select Products > Product Catalog.
  3. Search for the product by name or another barcode already on file.
  4. Hover over the product’s name and click Open to view its product details.
  5. In the Barcode field, enter the barcode exactly as it appears on the shelf tag or package, including the leading digit and check digit.
  6. Click Save.

Add a Missing Barcode on the Handheld

  1. Log into the VoriOS app on the store handheld.
  2. Tap into the Search Products field at the bottom of the main screen.
  3. Search for the product by name or another barcode already on file, then select it from the results.
  4. Select Edit Product Details.
  5. Select the Details tab.
  6. Tap into the Barcode field and enter the barcode exactly as it appears on the shelf tag or package.
  7. Tap Save.
