How to manage gift cards in the Back Office

This article explains how to issue, edit, reissue, and deactivate digital and physical gift cards outside of POS transactions using the Back Office.

Introduction

In addition to issuing Digital Gift Cards and Physical Gift Cards at the POS, gif cards can be issued outside of a transaction. This feature is perfect for appreciation, marketing, or promotional giveaways.


How to Issue a Gift Card in the Back Office

 

To get started, Navigate to the Loyalty page, then to the Gift Cards tab.

Directions

  1. Tap Issue New Gift Card.

  2. Enter recipient phone number and/or Barcode and starting balance.

    1. If a phone number and barcode are both entered, the QR code and physical card will be linked.

    1. If a phone number was entered, the recipient should receive a message and proceed to add it to their Apple or Google Wallet (link expires after 7 days).

    2. If only a Barcode was entered, the balance should reflect on the Gift Card immediately.

      Select Create & Issue.


How to modify a gift card's balance in Back Office

The balance of a gift card can be manually adjusted in Back Office to correct errors or apply promotional adjustments.

Directions

  1. Search by Phone Number or Barcode.

  2. Select the gift card.

  3. Tap Modify Balance.

  4. Add or subtract from the balance.

  5. Enter the reason for the balance adjustment.

  6. Tap Update Balance.

  7. If a Customer has a phone number linked, they should receive an SMS stating the reason & new balance.


How to edit a gift card in Back Office

Retailers may want to merge gift cards or assign an owner phone number to be notified if there are changes made to the balance.

Select Edit to make changes to the following:

  • Add, edit, or remove a barcode.

  • Add an owner phone number (We do not support removing an owner from a gift card).


How to re-issue a gift card in Back Office

Gift cards may be re-issued if the shopper has accidentally deleted the original text. The shopper will receive a new link to add the gift card to their mobile wallet.

✏️ Note - Physical gift cards that are not linked to a phone numbers cannot be re-issued.


How to deactivate a gift card in Back Office

  1. Search by Phone Number or Barcode.

  2. Select the gift card.

  3. Tap Edit.

  4. Tap Deactivate.

  5. Add a reason for deactivation.

  6. Select Deactivate.

✏️ Note - If a gift card is deactivated, retailers can still issue new gift cards associated with the same phone number.
