Manage Gift Cards in the Back Office
Learn how to issue, edit, reissue, and deactivate digital and physical gift cards outside of POS transactions using the Back Office.
Introduction
In addition to issuing digital and physical gift cards at the POS, you can also issue gift cards directly from the Back Office, outside of a transaction. This is ideal for store credit, shopper appreciation, marketing, or promotional giveaways.

Issue a Gift Card in the Back Office
To issue a new gift card from the Back Office, follow these steps:

Go to the Loyalty page, then open the Gift Cards tab.

Tap Issue New Gift Card.

Enter a phone number and/or a barcode and starting balance.

If both are entered, the QR code and physical card will be linked.

If only a phone number is entered, the recipient will receive a digital card link via SMS.

If only a barcode is entered, the card balance will update immediately.

Tap Create & Issue.
⚠️ Caution: Digital gift card links expire 24 hours after they are sent.
If the recipient tries to open an expired link, they’ll see a “Gift Card Not Found” message.
Customers can reply RESEND to the original text, or store staff can reissue the gift card (see instructions below) from the Back Office.
Modify a Gift Card Balance
To correct an error or apply a manual balance adjustment:

Search by Phone Number or Barcode.

Select the gift card.

Tap Modify Balance.

Add or subtract the amount, and enter a reason.

Tap Update Balance.
✏️ Note: If a phone number is linked, the shopper will receive a text with the updated balance and any information entered in the Reason field.
Edit a Gift Card
You can update certain details on a gift card, including linking it to a shopper:

Tap Edit to:

Add, edit, or remove a barcode.

Add an owner phone number (you cannot remove a phone number once it’s assigned).

Reissue a Gift Card
If a shopper accidentally deletes the digital card text, you can reissue the card so they receive a new one.

Search for the gift card by phone number.

Tap Reissue.
✏️ Note: Physical gift cards that are not linked to a phone number cannot be reissued.
Deactivate a Gift Card

Search by Phone Number or Barcode.

Select the gift card and tap Edit.

Tap Deactivate.

Enter a reason, then tap Deactivate.
✏️ Note: Deactivating a card does not block the phone number. New gift cards can still be issued to it.
