Reconcile PCS (Paysafe) Deposits with your Payments Report

Learn how to understand and solve discrepancies between your reported card sales and your actual bank deposits.

Why Deposits Don't Always Match Sales

You may notice that the card sales total in your Vori Sales Overview or Payments Report doesn't always match the deposit that appears in your bank account.

This is often due to how PCS (Paysafe) batches transactions and handles fee deductions.

✏️ Note: PCS (Paysafe) typically deposits weekend sales in a single batch on Mondays. Additionally, processing fees are deducted directly from your deposits—daily for small transaction fees and monthly for larger account fees (usually between the 1st and 5th of the month).

This guide uses a real customer scenario to walk you through the steps to identify these deductions and reconcile your account.


Troubleshooting Checklist

If your deposit does not match your sales report, follow these steps to find the cause:

  1. Check the Day of the Week. If it is Monday, your deposit should equal the sum of your Friday, Saturday, and Sunday sales.

  2. Look for "Withdrawals." PCS may show negative amounts (withdrawals) on Saturdays and Sundays. These are daily processing fees being settled while the banks are closed for standard deposits.

  3. Check the start of the month. If it is between the 1st and 5th business day, a large discrepancy is likely your total processing fee from the previous month being deducted from that day's batch.

  4. Account for EBT/eWIC. These transactions are included in your Vori "Card Total" but often settle on a different timeline (T+2) than standard Credit/Debit transactions.


Scenario 1: Address Monthly Processing Fees

You may see a large, infrequent discrepancy towards the beginning of a new month. This is typically due to PCS (Paysafe) deducting the previous month's total processing rates and service fees.

Example:

A store owner saw $2,282.36 in Vori card sales on February 4th, but the deposit they received in their portal on February 5th was only $218.02, a difference of $2,064.34.

Follow these steps to verify this deduction:

  1. Log in to your PCS (Paysafe) Merchant Portal.

  2. Navigate to the Statements tab.

  3. Download the statement for the previous month (e.g., January).

  4. Look for the Total Fees or Amount Due. In this case, the monthly fee was $2,064.34, which matched the deposit gap exactly.


Scenario 2: Weekend Batching and Daily Withdrawals

Because banks do not process standard deposits on weekends, your daily portal activity will look different on Saturdays and Sundays.

Step 1: Identify Weekend Withdrawals

You may see small negative amounts labeled "Withdrawal" on weekend dates (e.g., -$36.52). These are not funds being "taken" from your sales; they are the processing fees for those days being settled independently since a positive deposit cannot be sent until Monday.

Step 2: Reconcile the Monday Batch

To reconcile a Monday deposit, you must add your sales from Friday, Saturday, and Sunday together.

Example:

  • Friday Sales: $2,085.75

  • Saturday Sales: $1,418.56

  • Sunday Sales: $2,005.19

  • Total Weekend Sales: $5,509.50

On Monday, the store received a deposit of $5,966.57.

💡 Tip: If the Monday deposit is higher than the weekend sales, it usually means EBT/eWIC transactions from earlier in the week have finished their 48-hour settlement cycle and were added to the Monday batch.


Scenario 3: EBT and eWIC Settlement

In the Vori Payments Collected table, the "Card Total" includes Credit, Debit, EBT, and eWIC.

⚠️ Caution: While Credit and Debit usually settle the next business day (T+1), EBT and eWIC often settle in two business days (T+2).

If you have a high volume of EBT sales, your daily bank deposit will rarely match your daily Vori "Card Total." To reconcile these:

  1. Subtract the EBT and eWIC totals from your Vori report.

  2. Compare the remaining Credit/Debit total to your bank deposit.

  3. Expect the EBT/eWIC amounts to appear in your bank account 24 hours later than the rest of the batch.
